When you submit a scientific paper through our submission form, we store the following data:

  • Email address: Your email address is stored to send you a confirmation of your submission and to communicate with you regarding your submission.
  • Author names: The names of the authors of the submitted paper.
  • Submission title: The title of your scientific paper.
  • Type of submission: The type of your submission (e.g., Paper, Poster).
  • Keywords: Keywords you provide for categorization.
  • Additional notes: Optional additional information you wish to provide.
  • Uploaded PDF file: The scientific paper you upload.

Legal basis: The processing of this data is carried out on the basis of Art. 6(1)(b) GDPR for the implementation of pre-contractual measures (processing your submission for the symposium) as well as on the basis of our legitimate interest in the organization and conduct of the symposium (Art. 6(1)(f) GDPR).

Purpose of data processing: This data is used exclusively for the organization and conduct of the Data Donation Symposium 2026. This includes:

  • Processing and review of your submission
  • Communication with you regarding your submission (e.g., confirmation, inquiries, notification of acceptance/rejection)
  • Organization of the symposium (e.g., creation of the program)

Sharing with third parties: Your data is not shared with third parties. The uploaded files and associated information are only accessible to the symposium organizers who need them for review and organization.

After successfully submitting a scientific paper, you will receive a confirmation email at the email address you provided.
